The Mayfair – Terms & Conditions / Guest Agreement

Payment Policy:

Reservations at The Mayfair constitute a binding agreement between the property and the individual named on the reservation. This reservation is non-transferable, and the named guest must personally occupy the room or suite for the entire duration of the stay. They are also responsible for the conduct of all guests and visitors associated with the booking. For group bookings, one designated guest will be held responsible for the group’s behaviour and any damage incurred.

Rates and conditions are subject to change without prior notice. Minimum stay requirements and peak season rates apply during busy periods, including school holidays, public holidays, and major events in the region. All quoted rates are per night and include GST. Management reserves the right to correct any pricing errors, whether communicated verbally or in writing.

Room or suite allocation is at the sole discretion of management, who reserve the right to alter or cancel a booking if necessary. A deposit of either one night’s tariff or 50% of the total booking value (whichever is greater) is required to confirm your booking. For one-night stays, full payment is required at the time of booking. Reservations are only confirmed once payment is received and you have received a confirmation email.

The balance of your stay must be paid in full prior to arrival. A 2.25% surcharge applies to payments made via credit card or Visa/Mastercard debit cards. Our preferred method of payment is via internet banking:

If arriving outside of office hours, the full balance must be paid prior to arrival.

Cancellation Policy:

  • Cancellations within 30 days of arrival incur a charge of 50% of the booking value or one night’s stay, whichever is greater.
  • Cancellations outside 30 days incur an $80 cancellation fee per room or suite.

Group Bookings (3 or more rooms/suites):

  • Cancellations within 42 days of arrival incur 100% of the booking value or one night’s stay, whichever is greater.
  • Cancellations outside 42 days incur a $90 cancellation fee per room or suite.

Non-Refundable Dates:
From December 24th to January 14th each year, as well as public holiday weekends and during major regional events, bookings are strictly non-refundable.

Amendments:
Any changes made to a confirmed booking are at the discretion of management. Reductions in guest numbers or shortening of stays may be treated as cancellations, and no refunds will be issued for early departures or late arrivals.

The standard cancellation policy applies to all bookings, regardless of COVID-19-related disruptions.

Bond / Cash Payment Policy:

A valid photo ID is required upon check-in. A valid credit card must be held on file, or alternatively, a $200 cash bond is required at check-in for any bookings made via third-party platforms (e.g., Expedia or Booking.com) using virtual credit cards.

No credit or refunds will be issued for cancelled rooms or suites.

Management reserves the right to charge for any damages or excess cleaning required. Any breach of motel policies may result in the immediate termination of your stay without a refund.

Child Policy:

  • Children aged 1–13 years are considered children.
  • Infants under 1 year stay free of charge.
  • Individuals aged 14 years and older are charged at the adult rate

Check-In / Check-Out Policy:

  • Check-in time: From 2:00 PM
  • Check-out time: By 10:00 AM

Early check-in or late check-out requests are subject to availability and may incur an additional charge.

A credit card will be held on file for any incidental charges, damage, or losses.

The Mayfair is a privately owned property. Management reserves the right to refuse service to any guest.

You are fully responsible for the behaviour of your visitors, who must vacate the property by 6 PM. Failure to comply may result in additional charges.

Photography & Events Policy:

Professional photography, videography, and the use of the property for commercial purposespromotional shootssocial media content creation, or events (including but not limited to parties, or business functions) are not permitted without prior written approval from management.

Guests must contact The Mayfair in advance to discuss event or media use requests. Unauthorised use will result in immediate termination of stay and/or additional fees.

Pet Policy:

Pets have a strict no pet policy.

Smoking Policy:

All rooms, indoor spaces, and common areas at The Mayfair are strictly non-smoking. Guests found smoking/vaping indoors will be charged a minimum $250 cleaning fee and may be asked to vacate the property without refund.

Parking Policy:

Complimentary off-street parking is available for registered guests. Parking is limited to one vehicle per room unless otherwise arranged.

The Mayfair is not responsible for any damage to or theft from vehicles parked on the premises.

Lost Property Policy:

Items left behind will be held for 14 days. If unclaimed, they will be disposed of at management’s discretion. We are happy to return lost property via courier at the guest’s expense.

Agreement:

By proceeding with your reservation or signing a registration form at check-in, you agree to all terms and conditions outlined above, as well as any additional policies in place at The Mayfair.
